Location: Hybrid- 2 days onsite, Santa Monica CA
We are seeking a highly motivated, innovative individual to join our Global Strategic Sourcing and Procurement (GSSP) team as a Procurement Specialist supporting indirect procurement specifically supporting our Commercial organization at state-of-the-art Santa Monica, CA headquarters while reporting into the Supply Chain Manager.
The Procurement Specialist will be responsible for procuring services and goods for the Commercial (Marketing & Sales) function supporting Global and US Marketing, Market Access, Analytics, International, and Sales. Additionally, the Incumbent, internally known as a Sourcing Analyst II, will ensure an effective Source to Settle process with seamless selection of suppliers via competitive bids/quotes for certain threshold levels. Further, the Procurement Specialist will onboard suppliers, including assurance vendor set up via Financial Shared Services, as well as negotiate business terms and conditions for low risk contract agreements, while working closely with Sourcing/Category Leads. This partnership will focus on transaction maintenance including PO hygiene and Invoice Reconciliation, supporting the Commercial Business Strategy & Operations teams and Commercial Stakeholders, while enabling trading with category preferred supplier and managing issues during the P2P end to end process.
Ultimately, the Procurement Specialist will secure statements of work /contracts/quotations needed for purchasing goods and services from suppliers. (S)He will communicate internal needs, supplier constraints to stakeholders and take ownership for the entire procurement process - including resolution of discrepancies from placement of order, confirmation of service/delivery, through approvals and payment of invoices.
Responsibilities of the Procurement Specialist - Commercial (Sales and Marketing) include:
- Acts as the point of contact for internal customers' day-to-day interactions related to suppliers, purchasing and payments
- Works closely with Sourcing, Commercial and Supplier to assure reliability, quality, and continuity of supply or service
- Collaborates with the appropriate functional teams to assist in the resolution of issues such as: work order or contract expiration, purchasing agreements, requisitions, invoice holds, open pos, losses, returns, cancellations, and discontinuations
- Analyzes performance and issues related to Source to Settle process and systems
- Leads or supports competitive bids, onboarding of suppliers and collaboration with Commercial stakeholders, Finance, and Legal
- Collaborates with Sourcing/Category Lead to execute category or procurement strategies and execute preferred supplier list,
- Proposes and supports system and process improvements
- Assists with change management activities associated with purchasing process and system
- Supports negotiation of pricing, low/medium risk contracts and cost savings initiatives
- Ensures suppliers' service agreements meet the quality and service standards
- Ensures compliance to Purchasing, Legal, and Financial procedures and policies
- Tracks, reports, and escalates supplier issues and coordinate resolution between internal & external stakeholders
- Aggregates, consolidates, and communicates regular service needs to suppliers
Basic Qualifications:
MA / MS degree with 3+ years of Supply Chain and/or Buying and/or Purchasing experience
OR
BS / BA degree with 4+ years of Supply Chain and/or Buying and/or Purchasing experience
Preferred Qualifications:
- 2+ years of experience purchasing of services of a Marketing and/or Sales nature
- 1+ years of experience operating in regulated industries, preferably with an understanding of the pharmaceutical industry, and commercial organizations supporting pharma
- Experience working with ERP (Oracle EBS, SAP or similar) and Contract Lifecycle Management systems as well as with Microsoft Suite products (Word, Power Point, and Excel)
- Experience running competitive bids using Sourcing Tools (SCOUT / ARIBA / Coupa / GEP / iProcure) as well as negotiating work orders or statement of works relating to Marketing & Sales
- Knowledge of the Procure to Pay processes
- Excellent organizational skills and ability to multi-task in a fast-paced environment
- Comfortable in a fast-paced expanding company environment and able to adjust workload based upon changing priorities
